Processing your year end in Sage Business Cloud Payroll is really easy. In a typical year end, there are only 3 things you need to do, and we've broken them down into simple steps to help you understand everything involved.

1. Review your employees’ pay values

Before you submit your end of year return to HMRC, you must make sure your employees’ taxable pay is correct. You can do this using the P11 reports.

  1. From the Year End tab, in the Tax year to report on drop-down, select the relevant tax year.
  2. Click Review Employee Pay (P11), then View P11 for all employees.

    Check that the information is correct, and that there are no missing periods that you can’t account for. If you find mistakes, correct them before you continue.

    Once you’re happy that the P11s are correct, proceed to the next step.

  3. Click Return to Year End, then select the Employee Pay has been reviewed check box.

2. Submit the final EPS

At the end of the tax year, you must submit a final employer payment summary (EPS) to HMRC. This final submission is different to the normal EPS submissions you send to HMRC on a monthly or quarterly basis.

The final EPS submission includes your end of year declarations and if applicable, the date your business ceased trading. You can submit your final EPS of the tax year within Payroll.

  1. From the Year End tab, in the Tax year to report on drop-down, select the relevant tax year.
  2. Click Submit EPS.
  3. If you want to close your PAYE scheme, select the check box and enter the cessation date.

    If you try to submit the final EPS before the cessation date, the submission fails. You should re-submit the final EPS after the cessation date.
  4. Click Next.
  5. Check the following year to date values are correct.

    Amount of CIS Deductions suffered

    If your company is a limited company and you entered CIS deductions suffered on your monthly or quarterly EPS submissions, the total appears here.

    The value reduces your overall tax liability.

    Total Recovery & Compensation for Statutory Payments

    If you paid statutory payments to your employees, the amount you claimed plus any compensation appears here, including:

    • Statutory Maternity Pay
    • Statutory Adoption Pay
    • Ordinary Statutory Paternity Pay
    • Additional Statutory Paternity Pay
  1. Click Next.
  2. Check your company details and Government Gateway credentials are correct. Edit if required.

    The most common reason for a submission failing is because of incorrect credentials. If the use saved check box is selected, clear this and check your details are correct.
  3. Click Submit.

The Year End tab shows if the final EPS submission is successful or if it fails. If it fails, you must correct the error then follow these steps again.

3. Produce your employees’ P60s

Smart Pensions

You must print P60s as part of your payroll year end process by 31 May 2021. This must contain all paid employees still working for the company on the 5th April 2021.

With Payroll, you don’t need any P60 stationery. You can simply create a PDF which you can print and give to your employees.

There's no option to email P60s because you need to print them as part of a PDF containing other reports.

  1. Complete your final Pay Run for the tax year.
  2. From the Year End tab, in the Tax year to report on drop-down, select the relevant tax year.
  3. Click Print P60 Certificates.
  4. Once these have been distributed to staff tick P60 distributed to employees.

    Depending on your Internet browser the P60s open in a new window or tab and you can choose to print or save them from your Internet browser file menu.

The P60 shows your employee’s total pay and deductions, including:
  • Their final tax code for the tax year.
  • Their total pension income for the year, if applicable.
  • The total amount of tax they paid during the year.
  • Their total national insurance contributions for the year.
